BearCoach™ (“we,” “our,” or “us”) is committed to protecting your privacy and maintaining the
trust of alumni chapters, universities, and users who rely on our AI-powered tools. This Privacy Policy
explains how BearCoach™ collects, uses, stores, and protects information when you use
the BearCoach™ website, tools, and services.
1. What BearCoach™ Is
BearCoach™ is an AI assistant designed to support alumni chapters with communication, event planning, leadership coaching, reporting, and organizational support. It is not a social network, CRM, or database of personal records.
BearCoach™ is intentionally designed to operate using chapter-level information, not personal data.
2. Information We Do NOT Collect or Store
BearCoach™ does not store or retain:
Personal names
Personal phone numbers
Personal email addresses
Home addresses
Member rosters
Donor names or donor-specific details
Student records
Financial account credentials
Sensitive interpersonal or conflict-related conversations
If personal information is included in a user’s message, BearCoach™ will not store it and may prompt the user to remove or generalize that information.
3. Information BearCoach™ May Store (“Safe Facts”)
BearCoach™ may store limited chapter-level information that is necessary to function effectively, including:
Chapter name and affiliation
School or university name
Chapter mission or purpose
Meeting cadence (e.g., monthly, quarterly)
General event titles and descriptions
Public-facing chapter initiatives
Non-personal leadership roles (e.g., “President,” “Treasurer” — not names)
Approved donation platforms or links (e.g., PayPal, Zelle, CashApp, website links)
Templates approved by the chapter (emails, flyers, scripts
Program themes and traditions
This information is referred to as “safe facts” and does not identify any individual.
4. Coaching & Sensitive Conversations
BearCoach™ provides optional coaching in areas such as leadership, communication, fundraising, time management, and conflict resolution.
Coaching conversations are not stored in chapter profiles.
Sensitive discussions are treated as private, session-based guidance.
BearCoach™ does not retain or reuse coaching content involving interpersonal issues.
5. How Information Is Used
Information stored by BearCoach™ is used only to:
Personalize outputs for a specific chapter
Generate accurate and relevant content
Improve continuity across chapter materials
Support reporting and chapter planning
Provide leadership and operational guidance
BearCoach™ does not sell data, share data with third parties, or use chapter information for
advertising.
6. Access & Sharing
Information stored by BearCoach™ is used only to:
Chapter information is accessible only to users working within that chapter context.
System-level summaries may be visible to a designated BearCoach™ Admin for quality assurance, improvement, and support purposes.
No personal data is included in system reports.
Chapters control whether templates or updates are saved.
BearCoach™ does not publicly display private chapter information.
7. User Controls
Users may:
Choose whether BearCoach™ saves chapter updates automatically
Request confirmation before saving information
Stop or resume saving safe facts at any time
Export chapter summaries or reports
Review and update chapter-level information
8. Data Retention
BearCoach™ retains only non-personal, chapter-level information for as long as the chapter
continues to use the tool. Chapters may request removal or resetting of stored chapter
information.
9. Security
BearCoach™ uses industry-standard safeguards to protect stored information and prevent
unauthorized access. Because BearCoach™ does not store personal or sensitive data, overall
risk exposure is intentionally minimized.
10. Children’s Privacy
BearCoach™ is not intended for use by children under 13 and does not knowingly collect
information from minors.
11. Changes to This Policy
We may update this Privacy Policy periodically to reflect improvements to BearCoach™ or
changes in applicable regulations. Updates will be posted on the BearCoach™ website with a
revised effective date.
