These Terms of Service (“Terms”) govern your access to and use of the BearCoach™ website,
platform, and AI-powered tools (“BearCoach™,” “the Service,” “we,” “our,” or “us”). By accessing
or using BearCoach™, you agree to these Terms.
If you do not agree, please do not use the Service.
1. What BearCoach™ Provides
BearCoach™ is an AI-powered assistant designed to support alumni chapters, alumni associations, and affiliated organizations with:
Event planning and promotion
Communications and marketing content
Leadership and organizational coaching
Chapter reporting and documentation
Strategic planning and operational guidance
BearCoach™ is a support tool, not a replacement for human judgment, governance, or professional advisors.
2. Eligibility
You must be at least 18 years old to use BearCoach™. By using the Service, you represent that
you have the authority to act on behalf of your alumni chapter or organization, where applicable.
3. Acceptable Use
You agree to use BearCoach™ only for lawful, ethical, and professional purposes.
You may not use BearCoach™ to:
Store or solicit personal data (names, emails, phone numbers, addresses)
Harass, defame, or discriminate against individuals or groups
Create misleading, fraudulent, or deceptive content
Impersonate another organization or individual
Upload or generate content that is illegal, offensive, or inappropriate
Misrepresent donation information or financial channels
Violate any applicable laws, university policies, or alumni association rules
BearCoach™ reserves the right to refuse or limit service when content violates these standards.
4. Chapter Information & Safe Facts
BearCoach™ may store limited chapter-level information (“safe facts”) to provide continuity and personalization, such as:
Chapter name and affiliation
Public-facing mission or goals
General event information
Non-personal leadership roles
Approved donation platforms or public links
Chapter-approved templates
You acknowledge that:
BearCoach™ does not store personal data
You are responsible for ensuring the accuracy of chapter-level information
You should not submit personal or sensitive data
5. Coaching Services Disclaimer
BearCoach™ provides optional coaching support related to leadership, communication, fundraising, time management, and organizational development.
Personalize outputs for a specific chapter
Generate accurate and relevant content
Improve continuity across chapter materials
Support reporting and chapter planning
Provide leadership and operational guidance.
These coaching features:
Are informational and educational only
Do not constitute legal, financial, medical, or professional advice
Do not replace consultation with qualified professionals
BearCoach™ does not store sensitive coaching conversations or interpersonal conflict details.
6. AI-Generated Content Disclaimer
BearCoach™ generates content using artificial intelligence. You acknowledge that:
AI-generated content may require review or refinement
You are responsible for reviewing content before publishing or distributing
BearCoach™ does not guarantee accuracy, completeness, or outcomes
Final responsibility for decisions and communications rests with you
BearCoach™ does not publicly display private chapter information.
7. Intellectual Property
All BearCoach™ branding, system design, prompts, workflows, and materials are owned by
BearCoach™ or its licensors.
You are granted a limited, non-exclusive, non-transferable license to use BearCoach™
outputs for your internal chapter or organizational purposes.
You may not:
Resell BearCoach™
Reverse engineer the platform
Copy or distribute system instructions
Claim ownership of BearCoach™ technology
Content generated for your chapter (flyers, posts, scripts) may be used freely by your organization.
8. White-Label and Institutional Use
BearCoach™ may be licensed to universities, alumni associations, or organizations under
separate agreements. Additional terms may apply for institutional deployments.
9. Privacy
Your use of BearCoach™ is governed by the BearCoach™ Privacy Policy, which explains how
information is handled, stored, and protected. By using BearCoach™, you agree to that policy.
10. Suspension or Termination
BearCoach™ reserves the right to suspend or terminate access if:
These Terms are violated
Content misuse occurs
Security or integrity is compromised
Required by law or institutional policy
Termination may result in loss of access to stored chapter-level information.
11. Modifications to the Service
BearCoach™ may update, enhance, or modify features at any time to improve functionality,
safety, or performance. We may also update these Terms periodically.
Continued use of the Service constitutes acceptance of updated Terms.
12. Limitation of Liability
To the fullest extent permitted by law, BearCoach™ shall not be liable for:
Decisions made using AI-generated content
Errors or omissions in generated materials
Lost opportunities, funds, or reputational harm
Indirect, incidental, or consequential damages
Use of BearCoach™ is at your own discretion and risk.
13. Indemnification
You agree to indemnify and hold harmless BearCoach™ from claims, damages, or losses
arising from your misuse of the Service or violation of these Terms.
14. Governing Law
These Terms shall be governed by and interpreted in accordance with the laws of the applicable jurisdiction where BearCoach™ is operated, without regard to conflict-of-law principles.
